Mistakes to Avoid When Choosing a Commercial Moving Company
Over 32 years, we've seen every mistake a facilities manager or administrator can make when hiring a commercial mover. Here are the most common — and the most expensive.
Mistake #1: Choosing on Price Alone
The cheapest quote almost always comes from the least qualified crew. When a $15,000 move goes wrong — damaged equipment, missed deadlines, operational downtime — the cost of recovery far exceeds the price difference. Treat commercial moving as a risk management decision, not a commodity purchase.
Mistake #2: Not Verifying Licensing
Any company can call themselves a mover. Not every company is a licensed, insured interstate carrier. Verify USDOT and MC numbers on the FMCSA website before signing anything. If they don't have them, they're not authorized for interstate moves — and their insurance may not cover your assets.
Mistake #3: Skipping the Site Assessment
A mover who quotes without seeing your space is guessing. That guess leads to wrong crew size, wrong truck size, and a move that runs over on time and budget. A proper site assessment (in-person or virtual) is the foundation of an accurate scope and quote.
Mistake #4: No Written Scope of Work
Verbal agreements create disputes. A professional mover provides a written proposal with scope, timeline, crew plan, and pricing — before you sign. If they won't put it in writing, that's a red flag.
Mistake #5: Assuming All Movers Handle Specialized Equipment
Office furniture and medical imaging equipment are not the same thing. Industrial machinery and standard cubicles require different crews, equipment, and protocols. Make sure your mover has demonstrated experience with the specific type of assets you're moving.
